HARBORLIVING

Lease status that opens and closes the right doors.

HarborLiving connects the leases in your property management system to your apartment smart locks. Signed leases issue access, move-outs revoke it, and maintenance entry follows your notice rules. We run the integration project and the monthly sync.

Works with Yardi, RealPage, Entrata, ResMan, AppFolio and Buildium · Schlage, SALTO and SmartRent locks

Your PMS and your locks, run by hand vs. run from the lease

Most operators already own both systems. The gap is the staff time and missed steps between them.

Task Manual process With HarborLiving
Move-in access Leasing office programs a fob or code after the lease is signed, often the morning of move-in. Executed lease in the PMS issues a mobile credential for the unit and amenity doors on the lease start date.
Move-out Someone remembers to delete the code. Mechanical locks get a rekey at turn. Credential is revoked automatically at the move-out date; no rekey needed for the unit door.
Renewals and month-to-month Expiry dates live in a spreadsheet next to the PMS. Renewal windows at 90 / 60 / 30 days drive a task list and extend access when the renewal is signed.
Maintenance entry Master key or shared code; notice handled by email or paper. Time-boxed code tied to the work order, issued only after a written notice is logged.
Audit trail Lock audit logs pulled by hand from each lock or gateway. One log per unit joining lease, credential and door events.
Data reconciliation Unit lists in the PMS and lock platform drift apart. Nightly check flags units, residents or doors that don't match.

01 · Lease events drive access

The lease record is the only switch

We map each PMS unit to its lock and amenity doors once. After that, lease start, renewal, transfer and move-out events from the PMS create, extend or revoke credentials on Schlage Control, XE360, SALTO or SmartRent. Staff stop keying codes into a second system.

Maintenance entry that follows notice rules

A work order in the PMS can request a technician code. For California units, the code only activates after a written notice is logged at least 24 hours ahead, inside business hours, with date, time window and purpose. Every door event lands in the same record as the notice.

Lease terms tracked where access depends on them

Renewal windows, e-signature status and month-to-month conversions show on one board. When a lease nears its end with no renewal, the team sees it weeks ahead, before the credential end date arrives.

Which property management systems do you connect to?

We work with Yardi Voyager and Yardi Breeze, RealPage OneSite, Entrata, ResMan, AppFolio and Buildium. Access is set up through your own authorized API credentials, the vendor's published interface, or an integration platform you already license. We confirm the exact method for your PMS during the integration review.

Which smart locks are supported?

Schlage Control (BE467F deadbolt and FE410F interconnected), Schlage XE360 wireless locks, SALTO XS4 Original+ and XS4 One DL, and properties already running SmartRent. If your locks are on a different platform, send us the model and we will tell you whether an integration is practical.

Do you sell or install lock hardware?

No. We don't sell hardware. Your locksmith or access control installer handles physical installation. We configure the software side, map units and doors, and can support on-site programming hourly.

How long does a rollout take?

A typical single-PMS, single-lock-platform portfolio goes from integration review to the first live building in about 4 to 6 weeks. Larger portfolios add buildings in batches after the pilot.

How do you handle California entry notice rules?

For units in California, maintenance codes can be configured so they only activate after a written entry notice is logged, during normal business hours, with the date, approximate time and purpose recorded, in line with Civil Code §1954. Emergency entry is logged separately with a required reason.

What happens to our data if we cancel?

You can export lease, credential and audit data as CSV at any time. After the contract ends we keep data for 30 days for export, then delete it from our systems.

Send us your PMS, lock brand and unit count.

We reply within one business day with a scope and a fixed implementation quote.
